Terms and Conditions

GENERAL POLICY STATEMENT

Zoe Expeditions Limited organizes safaris, day trips, beach holidays, mountain climbing expeditions and complete private safaris and tour packages in Tanzania. Please read the below terms and conditions carefully as these are valid when you enter an agreement with Zoe Expeditions.

Due to changing circumstances, the terms and conditions may be amended from time to time. However, the terms in effect at the time of booking remain in effect. Conditions in Africa are generally not comparable to those in developed countries, and service, medical facilities, safety, and security may be lower than in your home country. Please keep in mind that the laws and regulations of the country where services are provided apply to your vacation arrangements.

AMENDMENTS

All safari itineraries are subject to availability and are not guaranteed unless confirmed. If the proposed accommodation is fully booked, we will provide you with a suitable alternative in the same or higher price range (Surcharges may be applicable). We will provide a full refund if the alternative available travel services is not acceptable to you. We strongly advise booking well in advance, especially during high season (mid-June to mid-October, and November to December) to manage expectations and avoid any disappointments.

In the event of unforeseen situations beyond our control, Zoe Expeditions retains the right to change and re-adjust the safari itinerary, transportation, accommodation, and services. Any adjustments will be reported as soon as is reasonably practicable.

BOOKING CONFIRMATION

Once you have approved your personalized safari proposal we will send you an official booking form. We kindly ask to complete this form and return it by email. Note that valid travel insurance is mandatory when booking your safari with Zoe Expeditions.

We will make reservations for accommodations, excursions, and if applicable (domestic flights) once we receive your completed booking form. When all travel services have been reconfirmed we will send you the invoice.  The invoice will also serve as your booking confirmation once all travel services applied to your itinerary have been confirmed.

ACCOMMODATION

Accommodation included in the Client’s booking may only be used by the names mentioned on the booking form. It is not permissible to sublet. The Client must follow the community’s rules (if any) regarding the accommodation and evacuate it by 12 p.m. on the day of departure. During his vacation, the Client must behave correctly and must not do or allow to be done anything that could result in property damage, personal harm, or the forfeiting of any insurance contract.

The Client will use, occupy, and enjoy the accommodations supplied as part of his vacation with due care and respect, without allowing the accommodations to become excessively filthy. At no time will any items, equipment, or supplies be removed from the accommodation or left outside. Any lost, broken, or damaged property, including missing keys, will be the Client’s responsibility to restore or replace.

TERMS OF PAYMENT

A deposit payment of 30% of the total invoice amount has to be paid within 14 days after the invoice date. The remaining amount is due eight weeks (56 days) before arrival. For bookings within the period of 56 days prior to departure the full amount of the invoice has to be paid instantly. Once we have received the amount on our bank account we will send you a confirmation. Please note that bank transfer costs should be covered by the sender.

It is possible to pay the invoice in US dollars or in Euro’s. If the exchange rate fluctuates by 5% or more before payment has been made, then the (remaining) payment will be adjusted accordingly. We may decide to increase the deposit rate in case the total amount exceeds USD $25

In case the date of payment is exceeded, you will receive a friendly reminder. If we still do not receive your payment subsequently, we have the right to cancel your trip and we will charge you cancellation fees of 30% of the total amount.

CANCELLATION POLICY

If you need to cancel your trip, please email us as soon as possible. Any cancellations will take effect on the date we receive your request for cancellation. Cancellation fees are as follows:

Please NOTE: There will be no refunds for unused services, late arrivals, or no-shows.

SURCHARGES

Zoe Expeditions reserves the right to change the price of the Client’s holiday in response to changes in transportation costs, such as fuel prices, dues, taxes, or fees charged for services such as landing taxes or embarkation or disembarkation fees at airports, or government action that can affect prices. The Company will not change the pricing of the Client’s vacation less than 30 days before departure. If changes occur before that time, the Company will absorb or retain 2% of the pre-payments of the Client’s holiday cost.

If the Company imposes a surcharge that exceeds 10% of the Client’s holiday price, the Client will be eligible to terminate the holiday and get a full refund, minus any amendment charges. Should the Client wish to cancel as a result of this, the Client must do so within 14 days of the date of the Company’s surcharge invoice.

SPECIAL REQUESTS

Special requests should be made on the booking form or in writing. The Company will make every effort to accommodate special requests, but cannot and does not guarantee that they will be accomplished. Some may be covered by a supplement. Adding requests after booking may result in an amendment fee.

UNFORESEEN EVENTS

If Zoe Expeditions is affected by force majeure, which means any circumstances beyond the company’s control (including, but not limited to, explosions, floods, tempests, fires, accidents, war or threat of war, sabotage, terrorism, civil disturbance or requisition, sickness, quarantine, government intervention, weather conditions, or other outward occurrences), we will notify you immediately of the nature and extent of the occurrence. The company is not permitted to violate or abuse these terms.

We will use reasonable efforts to compensate you if you receive a refund as a result of a company’s failure to perform. We will, however, be entitled to deduct from any refund recoverable the reasonable actual and potential costs of the force majeure to the company.

INSURANCE

Travel insurance that covers everything is compulsory when travelling with us. We advise our clients to also insure this against safari cancellation. It is necessary to double-check your coverage if you already have travel insurance to ensure proper arrangements and adjustments before booking your safari. Please keep in mind that we can only make arrangements for ground transportation, but we are unable to book your international flight.

TRANSPORTATION

Every effort is to ensure that the safari vehicles are provided in a roadworthy condition but no liability can be accepted for a puncture, breakdown, damage, or delay as a result of the poor road conditions in our National parks. We only allow the guides to drive the company vehicles whose decision on all matters, such as the route taken, is final. 

AIRCRAFT SEATING 

The Company has no control in how much leg room (seat pitch) local airlines provide on their planes. Because aircraft types differ, no assurance can be made about a certain seat configuration on board. These seat pitches, on the other hand, are typical across the airline industry and meet current civil aviation authority criteria.

EXCURSIONS BOOKED LOCALLY

This contract does not include any services acquired locally, even if they are arranged by our local vendors.

DURING YOUR WILDLIFE SAFARI

We cannot guarantee wildlife or game viewing given several factors such as season, time and free movements. You must take precautins when viewing the animals, such as maintaining a safe distance, and carefully follow the other instructions of the tour guide or wildlife rangers.

COMPLAINTS

Any complaints must be reported immediately to the Zoe Expeditions’ guide (or to the head office using the company contacts made available to you) or to our suppliers, who will do everything possible to resolve the issue. If the problem is not resolved to your satisfaction, you must file a written complaint within 7 days of the tour’s completion or you can fill your complaints on your Safari Review Form which will be provided to you by our driver guide at the end of your safari.

It is important for us that our products continue to meet the ever changing demands of our customers. Each of our travelers completes an evaluation at the end of their trip. Liability for complaints that are not reported in accordance with the procedures outlined here cannot be accepted.

LIABILITY

While Zoe Expeditions will take every precaution when dealing with you as our valued guest and your belongings, we cannot be held liable for personal property loss or damage, personal injury, or death. When traveling, it is therefore compulsory to have travel insurance that covers nearly everything. Before travelling, you need to make sure that you go through a general health checkup and consult your doctor and see if it is safe for you to travel and engage in activities such as indicated in your itinerary.

TANZANIA TOURIST’S VISA

It is your own responsibility to obtain your Tanzanian Tourist Visa. We recommend that you apply for your Visa on Tanzania Immigration website or from Tanzania Ambassador’s found in your country.

RIGHTS OF WEBSITE USER

Zoe Expeditions grants you permission as a website user to view, download, and print the content as long as you use it for private, personal, educational, and/or non-commercial purposes only. Users may not use or exploit content from this website for commercial or non-private purposes without the prior written permission of Zoe Expeditions Tours Company. We pledge to take all reasonable and necessary precautions to safeguard your personal information.
